Job Description: Office Administrator

Position: Office Administrator
Status: Exempt/Full-time
Reports to: Executive Director
Salary Range:  $55,000 – $60,000
Location: Onsite in Denver, Colorado

Overview: The Denver Indian Family Resource Center (DIFRC) is seeking a qualified individual as an Office Administrator.

Office Administrator duties and responsibilities include providing administrative support to ensure efficient operation of the DIFRC office. Supports the DIFRC Executive Director and employees through a variety of tasks related to support to DIFRC operations. The Office Administrator is responsible for confidential and time sensitive material. Familiar with a variety of DIFRC practices and procedures. Ability to effectively communicate via phone and email ensuring that all duties associated with responsibilities of the Office Administrator duties are accomplished accurately, delivered with high quality and in a timely manner. The Office Administrator relies on experience and good judgment to support planning and accomplishment of DIFRC goals and objectives.

Primary Duties:

  • Skilled in employee benefits administration.
  • Three plus years of Human Resource experience.
  • Recommends and oversees employee benefits.
  • Proficiency with employer/ employee relationships including mediation methods and equal employment opportunities.
  • Performs administrative duties such as filing, typing, copying, scanning, etc.
  • Oversees coverage of incoming calls as needed.  
  • Organizes and schedules appointments and meetings as needed.
  • Produces and distributes as needed emails, memos, letters, faxes, and forms.
  • Assist in the preparation of regularly scheduled reports as directed by the Executive Director.
  • Maintain computer and manual filing systems.
  • Tracks and orders office supplies
  • Manages sensitive information in a confidential manner.
  • Develops and updates administrative systems to make them more efficient.
  • Resolves administrative problems in cooperation with the Executive Director.
  • Oversees the sorting and distribution of incoming mail.
  • While performing work duties, do so with polite and professional demeanor.
  • Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.
  • Reply to email, telephone, or face to face inquiries as requested by Executive Director.

Required Qualifications: Knowledge, Skills, and Abilities:
Proven experience as an Office Administrator and knowledge of office management systems and procedures. Must have working knowledge of office equipment such as printers, scanner, and copy machines. Proficiency in Google Workspace and Microsoft Office. Excellent time management skills and the ability to prioritize work and mindfulness and critical thinking skills as well as strong organizational skills with the ability to multitask.
High School degree: additional qualification as an Office Administrator with associate degree will be a plus.
